Common Daily Activities

The tasks most carrier operations team members perform on a typical operating day.

Assign Loads
Open the Dispatch Console, locate unassigned loads, select the load record, assign equipment from the fleet lookup, and save.

Dispatch Drivers
Open the load record, navigate to the Driver field, select an available driver from the lookup. The Driver App sends the load details to the driver automatically.

Update Shipment Status
Open the active load record, update the Status field to reflect the current stage (Assigned, Picked Up, In Transit, Delivered), and save. Drivers can also update status directly from the app.

Record Pickup and Delivery Milestones
Update the Actual Pickup and Actual Delivery date-time fields on the load record when events occur. These feed on-time reporting and close the load lifecycle correctly.

Upload PODs and Documents
Navigate to the Files section on the load record. Upload the document and tag it with the correct type. Drivers can upload PODs directly from the FTM Driver App at delivery.

Review Driver Activity
Use the Dispatch Console or the Driver Activity list view to review load status by driver, flag missing updates, and follow up on delayed milestones.

Monitor Fleet Performance
Open the FTM Fleet Dashboard from the Salesforce App Launcher. Review equipment utilization, active assignments, and availability for upcoming loads.

Run Operational Reports
Navigate to Salesforce Reports and open the FTM Carrier Operations report. Apply date filters, group by driver or equipment, and export if needed for review.

Recommended Operational Practices

Practices that keep load records accurate and reduce billing and compliance exceptions.

Keep shipment milestones current as events happen
Update pickup confirmed, in-transit, and delivered at the time of each event, not at end of shift. Delayed milestone updates make dashboards inaccurate and create gaps in on-time reporting that cannot be reconstructed retroactively.

Upload delivery documents immediately after delivery
Attach the signed POD to the load record as soon as delivery is confirmed. PODs held for batch upload are frequently missing when billing runs or when customers request proof of delivery, creating delays in both revenue and customer service.

Maintain complete load records from assignment through close
All required fields on the load record, including driver, equipment, appointment times, and rates, should be complete before a load is dispatched. Incomplete records at dispatch create exceptions in billing and reporting that require manual correction.

Record all operational updates inside FTM, not outside it
Status updates, exceptions, delays, and appointment changes should be recorded on the Salesforce load record, not in text messages, spreadsheets, or email threads. Updates outside the system are invisible to reporting and cannot be audited.

Use dashboards instead of spreadsheets for fleet and load status
The FTM Dispatch Console and Fleet Dashboard reflect live Salesforce data. Maintaining external tracking spreadsheets introduces version drift and requires manual reconciliation. When a load status question arises, the Dispatch Console should be the first reference.

Keep driver communication tied to the shipment record
Use FTM and the Driver App to communicate load instructions, address changes, and delivery updates. Communication recorded on the load record creates an audit trail and ensures dispatchers, billing, and management all have the same information.

How do I dispatch a driver?

Open the load record in FTM, navigate to the Driver field, and select the driver from the lookup. Once saved, the FTM Driver App notifies the driver with the load details including pickup address, delivery address, and appointment times. The driver accepts the load from the app.
Where do I upload Proof of Delivery?

PODs can be uploaded two ways. Drivers can capture and submit PODs directly from the FTM Driver App at delivery, which attaches the document to the load record automatically. Dispatchers can also upload manually by opening the load record, navigating to Files, and uploading the document tagged as Proof of Delivery.
How do I track shipment progress?

Use the Dispatch Console for a real-time board view of all active loads. Each load card shows the current status, driver, and last milestone update. Individual load records show the full milestone history. Drivers update status from the app, which syncs to Salesforce immediately.
Where can I manage drivers?

Driver records are maintained in the FTM Drivers object in Salesforce. From the FTM app, navigate to Drivers to view all records, add new drivers, update contact information, and review current load assignments. Driver availability is visible from the Dispatch Console.
How do I generate operational reports?

Navigate to Salesforce Reports and open the FTM folder for pre-built carrier reports including on-time delivery, load volume by driver, and revenue by lane. For dashboard access, open the FTM Operations Dashboard from the App Launcher. Filters can be applied by date range, driver, or equipment.
